Connect HubSpot to MailNesto
Contacts and lead scores sent to HubSpot every few minutes; HubSpot workflows can send contacts back.
HubSpot and MailNesto, together
If your sales team works in HubSpot, they want to see who is reading your emails without opening another tool. This connection sends new and changed MailNesto contacts to HubSpot every few minutes, with their lead score and subscription status in two properties it adds for you.
Contacts are matched by email, so nothing is duplicated. The connection also works in the other direction: a HubSpot workflow can post contacts to MailNesto, for example when a deal reaches a stage where marketing should take over.
What moves between HubSpot and MailNesto
Email, first name, last name, city and phone for everyone added or changed since the last sync, 100 at a time, up to 2,000 per run; the next run carries on.
Written to the “MailNesto lead score” (number) and “MailNesto status” (subscribed, unsubscribed, bounced and so on) properties, created automatically on first connect.
A workflow’s “Send a webhook” action posts contact properties; MailNesto reads email, first name and last name and saves other properties as fields.
Connect HubSpot in a few minutes
- 1
Create a private app in HubSpot
In HubSpot go to Settings → Integrations → Private apps → Create. Give it the crm.objects.contacts.read, crm.objects.contacts.write and crm.schemas.contacts.write scopes, and copy the access token (it starts with pat-).
- 2
Connect HubSpot in MailNesto
Open Integrations → Connect an app → HubSpot and click Connect. In the drawer, paste the token under “Send contacts to HubSpot” and click “Connect HubSpot”. The two properties are added and syncing starts.
- 3
Check the first sync
The card shows the last sync time and how many contacts have been sent. “Sync now” runs one straight away; “Pause syncing” stops it without losing your settings.
- 4
Send contacts back (optional)
In a HubSpot workflow add a “Send a webhook” action that POSTs to the private URL shown in MailNesto. Choose the list and tags for these contacts in the Setup tab.
What you can do with it
Build a HubSpot view or list sorted by “MailNesto lead score”. Reps can call people who opened the last three emails and clicked pricing, instead of working through a cold list.
Use the “MailNesto status” property in HubSpot to exclude unsubscribed and bounced contacts from sales sequences.
A HubSpot workflow can post closed-lost contacts with the tag “nurture”, starting a slower monthly series in MailNesto until they’re ready again.
When HubSpot marks a deal won, post the contact with the tag “customer” and let an onboarding automation take over.
Questions about the HubSpot integration
How often does it sync?
Every few minutes. Only contacts added or changed since the last run, or whose lead score changed, are sent.
Will it overwrite data in HubSpot?
It updates the fields it sends: email, first and last name, city, phone and the two MailNesto properties. Empty values aren’t sent, so a HubSpot phone number isn’t wiped by a blank one.
What happens if the token stops working?
The sync stops with a clear message, for example that HubSpot refused the token or a scope is missing, and the card shows a problem badge until you paste a working token.
Do I need a deals board in MailNesto too?
No. Keep HubSpot for selling and use MailNesto for email. Small teams without a CRM can use MailNesto’s own deals and tasks instead.
