Scheduling integration

Connect Calendly to MailNesto

Bookings become meeting tasks for your team, and bookers are tagged for follow-ups.

Overview

Calendly and MailNesto, together

A booked call is one of the strongest signals a lead can give. With this connection, each Calendly booking creates a meeting task in MailNesto at the booked time, linked to the person, and tags them “booked-meeting”, so your follow-ups and automations start without anyone copying details across.

Cancellations close the task (marked “Cancelled:”) and reschedules move it to the new time, so the Today list in Sales always reflects what’s really in the diary.

What syncs

What moves between Calendly and MailNesto

Into MailNestoBookings

invitee.created events create a meeting task titled with the event name and the guest’s name, at the booked time, with the join link or location in the notes.

Into MailNestoReschedules and cancellations

A rescheduled booking moves the existing task; invitee.canceled closes it and prefixes the title with “Cancelled:”.

Into MailNestoThe person who booked

Name and email, the fields last_meeting and last_meeting_at, and the tag booked-meeting plus any tags you choose.

Set it up

Connect Calendly in a few minutes

  1. 1

    Connect in MailNesto

Open Integrations → Connect an app → Calendly. Leave “Create a meeting task for each booking” on, choose who the tasks are for, set tags, and decide whether your booking page asks for marketing consent. Click Connect and copy the URL.

  2. 2

    Create the webhook subscription

In Calendly (Integrations → API & webhooks, or through Calendly’s API) create a webhook subscription for invitee.created and invitee.canceled pointing at the URL from MailNesto.

  3. 3

    Paste the signing key

Copy the signing key Calendly gives you into the “Webhook signing key” field. It’s optional but means only Calendly can post to your URL.

  4. 4

    Book a test meeting

Book a slot yourself. The task appears under Sales → Tasks at the booked time, and the Activity tab shows “New booking: Discovery call · …”.

Ideas

What you can do with it

Prepare people for the call

Start an automation on the booked-meeting tag that sends a short “what to expect” email with two questions to think about, so the call starts in the right place.

Follow up on proposals

After the call, move the deal to “Proposal sent”. The Follow up on proposals recipe adds a task after 3 days and sends an “Any questions?” email after 5. A design studio in Ahmedabad might link its portfolio for the industry discussed.

A newsletter for people who have met you

A segment of contacts tagged booked-meeting is a small, warm audience. Send them case studies and event invitations that would be too detailed for your whole list.

FAQ

Questions about the Calendly integration

Are people who book added to my newsletter?

Only if you turn on “My booking page asks for marketing consent”. Otherwise people already on your list are updated and tagged, and new bookers get a meeting task but aren’t added to your marketing list.

Can I turn off the meeting tasks?

Yes. Switch off “Create a meeting task for each booking” and the connection will only update and tag contacts.

Who gets the tasks?

The team member you choose under “Meeting tasks are for”, or nobody in particular. Reminders follow the task’s due time like any other task.

What happens if a guest reschedules?

The original task is moved to the new time and reopened if needed, so you don’t end up with two tasks for one meeting.
