Bulk email simply means sending the same message to many people at once: a newsletter to 20,000 subscribers, a sale announcement to every customer, a class schedule to all your students. Done well, it is the cheapest way to reach your audience. Done carelessly, from a Gmail account or a list bought online, it lands in spam, gets your domain blocked and can break the law. This guide explains how to send bulk email properly from India.
What a bulk email service does
You can’t send thousands of emails from an ordinary mailbox. Gmail and Outlook cap how many messages one account may send in a day, and a sudden burst from a personal address looks exactly like spam to the receiving servers.
A bulk email service (also called an email marketing platform or ESP) sends through infrastructure built for volume. It authenticates your messages, spaces them out, handles bounces and unsubscribes automatically, and shows you who opened and clicked. Most also give you a drag-and-drop editor, a contact database, signup forms and automations.
- Sending at volume, at a pace mailbox providers accept.
- Authentication with SPF, DKIM and DMARC on your own domain.
- Automatic handling of bounces, spam complaints and unsubscribes.
- Personalisation with merge tags, like the first name or city.
- Reports on deliveries, opens, clicks and the revenue each email brings in.
Consent comes first: bulk email and the law in India
India’s Digital Personal Data Protection Act, 2023 (DPDP Act) treats an email address as personal data. Using it for marketing needs a lawful basis — in practice, the person’s consent, given for that purpose, which they can withdraw at any time.
That rules out bought, rented or scraped lists. Besides the legal risk, they ruin deliverability: these lists are full of old addresses and spam traps, and the people on them never asked to hear from you, so they mark you as spam.
If you email people in the EU, the UK, the US or Canada, their laws (GDPR, PECR, CAN-SPAM, CASL) apply too. All of them expect an easy way to unsubscribe and an honest sender name and subject line.
Read our guide to email marketing laws in India for the detail, and keep a record of when and how each person signed up — MailNesto stores this consent history for every contact.
Set up your domain before the first big send
Mailbox providers decide whether to trust your email mostly from your domain’s authentication and its sending history. Get these right before you send to your whole list.
- Send from your own domain Use an address like news@yourbrand.in, not a free Gmail or Yahoo address. Free-mail domains publish DMARC policies that make bulk mail sent through other services fail.
- Add SPF and DKIM records Your email platform gives you two or three DNS records. Add them at your domain registrar. They prove the platform is allowed to send for you and that messages weren’t changed on the way.
- Publish a DMARC policy Start with p=none to collect reports, then move to quarantine once everything passes. Gmail and Yahoo require DMARC from bulk senders.
- Warm up a new domain Don’t jump from zero to 50,000 emails in a day. Start with your most engaged contacts and raise the daily volume over two to four weeks.
Keep your list clean
- Remove hard bounces immediately — a good platform does this for you.
- Honour unsubscribes at once, and never re-import people who opted out.
- Re-engage or remove contacts who haven’t opened or clicked in six months or more.
- Use double opt-in on public signup forms to keep typos and fake addresses out.
- Verify an old list before you send to it for the first time.
Write emails people want to receive
Bulk doesn’t have to mean impersonal. Segment the list — by city, by what people bought, by how recently they engaged — and send each group something relevant. Use a clear sender name, a subject line that says what’s inside and one main call to action.
Send a plain, readable layout that works on a phone first: most people in India read email on mobile. Keep images light, add alt text and always include a text version.
What bulk email costs
Email platforms price either by the number of contacts you store or by the number of emails you send each month — some by both. If you have a large list but email it rarely, sends-based pricing is usually cheaper; if you email a smaller list often, contacts-based pricing can be.
For an Indian business, also check the currency: plans billed in US dollars add card forex charges and make GST input credit harder, while plans billed in rupees come with a GST invoice.
| Pricing model | Works well when | Watch out for |
|---|---|---|
| By contacts | You email a modest list often | Unsubscribed or inactive contacts that still count towards the bill |
| By emails sent | You have a big list and send now and then | Extra charges if you go over the monthly allowance |
| Pay as you go | You send rarely and unevenly | Credits that expire, and missing marketing features |
MailNesto plans are priced in rupees with GST invoices, by contacts and monthly emails, and you can start on a free plan. See the pricing page for current plans.
A checklist before every bulk send
- Is everyone on this list someone who agreed to hear from you?
- Do SPF, DKIM and DMARC pass for the sending domain?
- Did you send a test to yourself and check it on a phone?
- Do the links work, and is there a visible unsubscribe link?
- Is the send spread out (or scheduled) instead of all at once to a cold list?
- Do you know what you will measure — clicks, orders, bookings?
Questions
What is the best bulk email service in India?
Look for rupee billing with a GST invoice, help with SPF, DKIM and DMARC, automatic bounce and unsubscribe handling, a gradual warm-up for new senders, and consent tools for the DPDP Act. MailNesto is built around these; our comparison pages show how other tools do.
Can I send bulk email from Gmail?
Not reliably. Gmail limits how many messages an account can send each day, offers no unsubscribe handling or reports, and bulk mail from a personal address is easily flagged as spam. Use an email marketing platform with your own domain.
Is sending bulk email legal in India?
Yes, when the people on your list agreed to receive it. Under the DPDP Act you need consent for marketing, must let people withdraw it easily and must keep their data secure. Bought or scraped lists don’t meet that.
How many emails can I send at once?
As many as your platform and plan allow, but pace matters more than the total. A new domain should start small and grow over a few weeks; an established domain with an engaged list can send to large lists in one go.
Why do my bulk emails go to spam?
Usually missing authentication (SPF, DKIM, DMARC), a list with old or unconsented addresses, a sudden jump in volume, or content that looks like spam. Fix authentication first, clean the list, and warm up gradually.
